How translation works

Open Translations โ†’ Overview. Where translations come from PIM looks for free sources first and only then uses a paid engine: 1. Vocabulary โ€” fixed terms (free); 2. Translation memory โ€” exactly the same text translated before (free); 3. Translation engine โ€” machine translation (paid, counts towards the monthly limit); 4. Premium engine โ€” for long descriptions, if enabled in settings. Machine translation never overwrites text written by a person or a supplier. The overview page There are four figures at the top: - Needs review โ€” translations waiting to be checked; - Translating โ€” jobs running now; - Free from memory โ€” how much text came from translation memory; - By engine this month โ€” how much of the monthly limit is used. The Languages card shows each language's coverage, how many translations are machine vs human, and a link to outdated texts. Translate missing 1. In the Translate missing block choose From language and To language. 2. Set how many products to translate (up to 2000 at a time). 3. Click Queue. The job appears in the Translation jobs table with the state Pending โ†’ Translates โ†’ Ready (or Error). If the button is disabled and you see No translation engine connected, your company doesn't have an engine connected yet โ€” contact support. Other ways to translate - One product โ€” on the product's Texts and translations page or in the Translate now panel (see Texts and translations). - Many chosen products, cheaper โ€” Translation lists. - Automatically โ€” Automatic translation.

Reviewing translations (Needs review)

Open Translations โ†’ Needs review. The number next to the menu shows how many texts are waiting. What goes into the queue - machine translations nobody has checked yet; - outdated translations โ€” the source text changed after translation. Page layout On the left is the queue (product ร— language); on the right, the selected product. Filters at the top: - language (All or a specific one); - All ยท Source changed ยท Machine; - search by SKU or name. For each field (name, short description, description, SEO title, SEO description) you see: - the source with changes highlighted (struck through โ€” old, green โ€” new); - the current translation; - a field for the new translation you can edit. Suggest translation asks the engine for a new version (you'll see the price). If translation memory already has a matching text, it's filled in for free. Actions and shortcuts | Button | Key | What it does | |---|---|---| | Accept and next | Enter or โŒ˜/Ctrl+Enter | Saves the translation and opens the next one | | Keep old | A | Marks the current text as reviewed without changing it | | Skip | S | Moves to the next one without changing anything | While you're typing in a field, single-letter shortcuts are ignored (so you don't trigger anything by accident); โŒ˜/Ctrl+Enter always works. Your edit goes into translation memory โ€” next time the same text is translated for free. For the Viewer role the page is read-only.

Translation lists

A translation list is a group of products to translate in one go โ€” handy for a new collection, say, or for all products missing Russian text. Open Translations โ†’ Translation lists. 1. Create a list Click New list and fill in: - name; - From language and To languages (several allowed); - How to translate: - Background, cheaper โ€” about 50% cheaper, results within minutes to a few hours (default); - Instantly โ€” product by product, full price; - Engine โ€” only connected engines are available. In Instantly mode you can choose the company default. 2. Add products - On the list page paste SKUs (up to 1000 at a time), or - in the product list select products โ†’ Add to translation list, or - on the product page in the Translation panel โ†’ Add to list. 3. Check the volume and price The How much will be translated block shows the character count and the approximate price. Only missing fields and those whose source changed are counted โ€” text written by a person is neither sent nor overwritten. Click Recalculate after adding products. If you see Price not known yet, the engine has no price entered โ€” you can still translate, and you'll see the cost afterwards under Costs. 4. Run it Click Translate in background (or Translate list) and confirm. Each language is sent separately. The page refreshes itself every 10 seconds. List states: draft โ†’ queued โ†’ in progress โ†’ completed (or error). Good to know - Deleting a list doesn't delete translations already written. - While a list is queued or in progress, it can't be changed. - Check the finished translations under Needs review.

Translation costs and the monthly limit

Open Translations โ†’ Costs. What the page shows - By engine โ€” how much was spent on each translation engine; - By translation list โ€” what each list cost; - By month โ€” spending history; - Monthly limit โ€” how much of your plan's limit is used this month. All amounts are your price (what your company pays). What's free - translations from translation memory (reused, already translated text); - translations from the vocabulary; - texts written by you and your colleagues. Monthly limit Your plan has a monthly machine-translation limit. Only engine-translated pieces of text count. When the limit is reached, the Overview shows Monthly limit reached, and new translation jobs aren't accepted until next month. If you need a higher limit, contact support โ€” it can be raised by changing your plan. How to translate for less - Use translation lists in Background, cheaper mode โ€” about 50% cheaper. - Correct translations in PIM โ€” they go into translation memory, and the same text is free next time.

Automatic translation

Automatic translation means PIM regularly translates missing texts from your main language into your other languages by itself. How to turn it on 1. Open Settings โ†’ Translation. 2. Under Automatic translation choose: - Off โ€” translates only when you run it yourself; - Fill missing languages โ€” translates empty fields; - Fill missing and refresh outdated โ€” also re-translates machine translations whose source has changed. 3. Save. Changing settings needs the Administrator or Owner role. How it works - PIM checks every 5 minutes and translates up to 200 products per language each time. - The Standard engine is used; for long descriptions the Premium engine, if one is chosen. - Only machine translations are re-translated โ€” human edits are never touched. - Automatic translation counts towards the monthly limit. If you have many products and a limited quota, start with Fill missing languages and do re-translation with translation lists in the background โ€” it's cheaper.

AI credits (coming soon)

We're preparing AI credits โ€” a single balance you'll be able to use for both machine translation and AI suggestions. For now translation is tracked by the monthly limit and costs (see Translation costs). We'll update this article as soon as AI credits are available.
